Setting up and running a competition day to day

Initial competition setup

Master Setup is where a new competition gets switched on. Four one-tap actions pull everything in from AirTribune and initialise it in CompBuddy: sync the Competition itself, sync Pilots, sync Questions (the daily feedback form), and Days (creates a CompBuddy day record for every competition day).

Invite pilots

Competition Settings has an Invite Pilots card that emails every pilot who has an address on file and hasn't connected an account yet, with a link that connects their CompBuddy account straight to their pilot entry.

For the pilots who don't use the email link, an admin can still connect them manually from the pilot list: scan their account QR code, or type in their account ID directly.

Checkpoints: templates, defaults, and daily events

Rather than building each day's checkpoint schedule from scratch, admins can maintain a library of reusable default events (e.g. "Registration Desk", "Task Briefing", "Launch Check-in") and group them into named templates (e.g. "Race Day", "Rest Day"). Initialising a day from a template populates its whole checkpoint schedule in one step.

Each day's schedule can also be edited directly — add a one-off custom event, edit an existing one's time/location, or open View Attendance on any check-in/check-out event to see who's checked in, checked out, or still missing, each with a timestamp. From the same event menu, an admin can also run the continuous check-in/check-out scan loop themselves, exactly like staff.

Competition settings

A single settings screen controls the things that don't change often during a competition:

Retrieve

The CompBuddy retrieve manager is neither finished nor tested.

There are several options on what is possible.

For comps that use WhatsApp to collect the need for retrieve and the location, CompBuddy already provides support for the pilots that have difficulty selecting the correct chat or submit a location.

For the Flymaster Retrieve, CombBuddy offers support to the pilots that have a hard time remembering the commands in the retrieve bot.

The integration of Flymaster tracker data could improve this situation. No coding to support flymaster data has been done yet. One missing feature is a tracker status overview of all pilots throughout a comp day.

Two older, day-by-day actions still live on Master Setup for competitions that prefer manual control instead of the automated daily flow: Init Day (re-run pilot initialisation for the current day) and Send to Pilots (broadcast the current feedback questions to all active pilots via WhatsApp).
